How to manage waitlist?

Overview

The waitlist feature in Jumbula lets you collect registrations even when a program is full. Instead of rejecting new sign-ups, additional registrants are placed on a waitlist and can be manually moved into the program when a spot becomes available. This helps you keep interested families in line rather than losing them.

Who Is Involved

  • Administrators/program staff: Manage the waitlist. They enable it, review waitlisted registrations, and manually move registrants into open spots.
  • Participants (families, registrants)When a program is full, families can select Add to Waitlist. This shows interest but does not guarantee a spot.
Waitlists work for both single-class registrations and multi-class (season grid) setups.

Before You Begin

Make sure:
  1. Waitlist option is enabled for programs and seasons, either during initial setup (single registration) or via season settings (multi-class registrations).
  2. A maximum capacity (enrollment limit) is defined. Without a capacity limit, the waitlist will not activate.

  3. Your team understands that waitlists are managed manually. Jumbula does not automatically move people into open spots.

  4. (Optional) Notification emails are configured so that users or admins can be notified when the waitlist status changes.

How to manage the Waitlist

  1. Log in to the Jumbula Admin DashboardSeasons.

  2. Select the season that contains the program.

  3. Go to Programs and Enrollments and find the program.

  4. Hover over the ⋯ (Actions) column.

  5. Select Manage waitlist to open the waitlist view.

  1. Choose an item and mouse over the ... under Actions column to choose one of the available actions:
    1. Approve waitlist request: User will receive notification to complete the registration. If the request is approved, you will see Cancel approval instead.
    2. Complete registration by admin: Admin completes the registration.


Notification emails will be sent when an admin completes a waitlisted registration, if email settings are enabled via Admin Dashboard > Settings > Policies > Email to user/admin)
