Overview

After your season is published and enrollments begin, you can monitor registrations, capacities, waitlists, and financial data using built-in reports and dashboards.

Who is involved

  1. Admins: Review registrations, capacity, and revenue.

Before you begin

Description of steps

There are two ways to generate reports in the Jumbula dashboard:
  1. Seasons tab: generates season-based reports
  2. Reports tab: generates reports based on multiple factors

Generating season-based reports

Navigate to Seasons > Selected season > Reports.
You have many options for generating reports based on different elements.

Registration data

This section allows you to generate and export detailed reports that include registration data, waivers, and follow-up form responses. You can run reports for all programs within a season or select a specific program. Multiple filtering options are available to help you narrow down the data as needed.


If you select Registration files, you can choose one program and email the report to the designated recipient.




Finance tab

If you navigate to the Finance tab, you will see all transactions in the selected season.
Available reports:
  1. General
  2. General transactions
  3. Balance
  4. Charge discount
  5. Installment report
  6. Coupon report
  7. Order histories
  8. Revenue
  9. Late fee


Idea
All reports generated by Jumbula can be exported to your computer as an Excel file or a PDF.

Roster

The Roster feature allows you to export a wide range of information based on various criteria. Rosters are participant-focused and display assignment details for each enrollment.
There are multiple roster types available to support different needs, including Camp/Class Rosters, Attendance Rosters, Instructor Check-In, and more.


Capacity and waitlist

In the Capacity & Waitlist section, you can generate reports and review an overview of your programs, including waitlist status and overall capacity details.


You can generate reports for the following:
  1. General capacity report
  2. Graph
  3. Waitlist
  4. Draft orders
  5. Pre registration

Run subscription rosters

If you use a before/after care model with recurring billing:
Go to Seasons > Selected season > Reports > Subscriptions. Select a start and end date. Run the roster. You can generate reports for a specific day, week, or custom range.


Medical

You can view and filter medical information for all programs within a season or for a specific program.



Custom reports

Custom reports let you define exactly which data you need, giving you the flexibility to tailor each report to your specific requirements.

Profile report
Go to Reports > Custom reports > select add profile report.  Enter a report name. Choose which fields to include (including custom form questions).
Save and run the report.
You can:
  1. Run for all programs or selected programs.
  2. Export results.
  3. Share the report.
  4. Email participants directly from the report.
  5. Saved reports can be reused without reconfiguring filters.

Mobile app

You can also generate reports of the notes that your staff leave using the Jumbula business app.

Run reports across seasons

Go to the main Reports tab (outside a specific season).

Parent mailing list

Here, you can view and export a complete list of parent email addresses, along with additional details—such as whether they are designated as the primary account holder.



Participants by grade

As the name suggests, this section allows you to filter and export participant reports based on grade level.
To generate the report, open the drop-down menu and select the desired grade (only one grade can be selected at a time), then click Run to view and export the results.



Custom

You can also create custom reports across all of your seasons and not just one. The configuration is the same as the season-based custom report.

Finance

The Finance tab allows you to generate, export, and share multiple forms of reports:
General
Provides a high-level overview of your financial data, including totals and key summaries for the selected period.

General transactions
Displays a list of all transactions within a specific timeframe, offering a clear snapshot of payments and activity.

General transactions – detailed
Includes a more comprehensive breakdown of each transaction, with additional fields and in-depth financial information.

Notes
Note: This option can be shared exclusively via email and cannot be downloaded or accessed in any other format.

Discount
You can generate reports for scholarships, discounts, or a combination of both, depending on the data you need.

Donation
Lists all recorded donations, allowing you to monitor contributions separately from program revenue.

Family payment method
Displays the payment methods linked to family accounts, helping you review how payments are being made.

Bulk dependent care receipt
Generates dependent care receipts in bulk for tax purposes. These receipts are available only as a full-year report, making it easier for families to access complete annual documentation.

Order histories
Provides a complete history of orders placed, including statuses and payment details.















Master enrollments
Offers a consolidated report of enrollments across activities, helping you track overall participation.

Family credit
Shows credits issued to families, including remaining balances available for future use. You can generate reports for all email addresses or for a specific one.



Cashflow
Summarizes money coming in and going out, giving insight into your organization’s financial movement.

Revenue
Breaks down income generated from programs and services over a selected period.

Gift cards
Tracks gift card purchases, redemptions, and remaining balances.

Balance
Displays account balances, including outstanding amounts and credits.

Installments
Provides details on payment plans, including scheduled, completed, and pending installment payments.

User credit cards
Lists stored credit cards associated with user accounts for administrative reference.

Roster

It works much like the roster mentioned earlier, offering multiple options and not limited to a single season—you can generate reports for all seasons.
